If your QuickBooks Online or Xero file is months behind, full of uncategorized transactions or doesn’t match the bank, we catch it up and clean it up for a fixed fee, then keep it accurate every month after. The work is CPA-reviewed, so the result holds up for your tax CPA, a lender or an investor.
Do you need a QuickBooks cleanup?
- Bank and credit card accounts haven’t been reconciled, or the reconciled balance doesn’t match the statement
- Hundreds of transactions sit in “Uncategorized,” “Ask My Accountant” or the bank feed waiting to be accepted
- Undeposited funds, accounts receivable or accounts payable carry old balances nobody can explain
- Shopify, Amazon or Stripe payouts were recorded as revenue without fees, refunds or sales tax split out
- Personal and business spending are mixed, or owner draws were booked as expenses
- Your tax CPA, bank or an investor has asked for financial statements you don’t trust
What’s included in catch-up and cleanup bookkeeping?
- File review. We review your file and bank statements, list what’s wrong and agree the periods to fix.
- Catch-up. We record and categorize every missing month from bank, card and processor data, and match payments to invoices and bills.
- Cleanup. We fix miscategorized transactions, duplicate entries, old open items in receivables, payables and undeposited funds, and the chart of accounts itself.
- Reconciliation. Every bank, card and loan account is reconciled to the statement for each month, so the balance sheet ties out.
- CPA review and handover. A CPA reviews the result and you receive financial statements and a summary of the adjustments, ready for your tax CPA.
How much does a QuickBooks cleanup cost?
We quote cleanup and catch-up work once, as a fixed-fee project, after reviewing your file. You know the full price before we start, and it doesn’t grow with the hours. The main things that drive the price are:
- How many months are behind, and whether earlier periods also need fixing
- Transaction volume and the number of bank, card, loan and payment processor accounts
- Sales channels: marketplace and processor payouts take more work to split correctly
- Records available: complete statements and receipts make catch-up faster than rebuilding from scratch
- Accounting basis: converting cash-basis books to accrual adds accruals, deferred revenue and prepaid schedules
Once the books are current, ongoing bookkeeping starts at $599 a month. See pricing and outsourced bookkeeping.
Do you clean up Xero files too?
Yes. We do the same catch-up and cleanup work in Xero, and we can move you between QuickBooks Online and Xero if your current software no longer fits. We are a QuickBooks ProAdvisor Elite firm and work in both every day.
Frequently asked questions
How long does catch-up bookkeeping take?
It depends on how many months are behind, your transaction volume and how quickly statements and records are available. We give you a timeline with the fixed quote after the file review.
What do you need from us to start?
Accountant access to your QuickBooks Online or Xero file, and bank, credit card and loan statements for the months being fixed. Read-only access to payment processors and sales channels helps us split payouts correctly.
Can you fix books after a tax return was filed?
Yes. We fix the books and give your tax CPA a summary of the changes so they can decide whether anything filed needs to be amended. We don’t prepare or file tax returns ourselves.
Do we have to sign up for monthly bookkeeping afterwards?
No. Many clients continue with monthly bookkeeping so the file stays clean, but a cleanup can be a one-time project.
