Cloud accounting software compared for 2027: QuickBooks Online, Xero, NetSuite, Sage Intacct, Rillet and Digits

The best accounting software for small businesses in 2027 depends on your company’s stage, not on a single winner. For a solo founder or a small single-entity business, QuickBooks Online (from $38 a month) or Xero (from $27 a month) is still the right default, and Digits is a credible AI-first option at a published monthly price. Once you have several entities, contract revenue to recognize under ASC 606, or an audit coming, it is time to look at NetSuite, Sage Intacct, Intuit Enterprise Suite or an AI-native ledger such as Rillet, all of which are priced by quote. Our verdict in one line: pick the cheapest system that handles your next two years of complexity, and plan the move before your close starts to break.

Key takeaways

  • QuickBooks Online and Xero remain the best fit for most single-entity small businesses, with published list prices from $38 and $27 a month as of October 28, 2026.
  • Digits is the only AI-native ledger here with public small-business pricing; Rillet, NetSuite, Sage Intacct and Intuit Enterprise Suite are all quoted.
  • The real triggers to move up are multiple entities, ASC 606 revenue recognition, more users and approvals, and audit readiness, not revenue alone.
  • Software does not close the books. A clean chart of accounts, monthly reconciliations and a reviewer matter more than the logo on the login page.

What is the best accounting software for small businesses in 2027?

There is no single best accounting software for small businesses in 2027, because a five-person Shopify brand and a Series B SaaS company with three subsidiaries need different things. We find it more useful to sort the options by stage:

  • Starting out (one owner, simple revenue): QuickBooks Online Simple Start, Xero Early or Digits Essentials.
  • Small team, one entity: QuickBooks Online Essentials or Plus, Xero Growing or Established, or Digits Core.
  • Growing, still one main entity: QuickBooks Online Advanced for more users, workflows and unlimited classes, or Xero Established if you bill in several currencies.
  • Multi-entity, ASC 606, audit-bound: NetSuite, Sage Intacct, Intuit Enterprise Suite or an AI-native ERP such as Rillet.

We work in all of these systems every month, so the guidance below is about fit, not loyalty to one vendor. If you want the deeper head-to-heads, see our QuickBooks Online vs NetSuite comparison and our review of AI accounting software.

Which accounting software is best for a new or very small business?

For a business with one owner, one bank account and simple sales, the cheapest plan that connects your bank and card feeds is enough. QuickBooks Online Simple Start ($38 a month, one user plus two accountant seats) and Xero Early ($27 a month, capped at 20 invoices and 5 bills) both cover bank reconciliation, invoicing and basic reports. Xero Early’s invoice and bill caps are the limit to watch: a business sending more than 20 invoices a month will need Growing at $59.

Digits is worth a look if you want the software to categorize and reconcile most transactions on its own and you are comfortable with a younger platform. The trade-off is a smaller pool of accountants and third-party apps that know it well, which matters when you hire help or add tools later.

QuickBooks Online or Xero: which should a growing small business choose?

For most US small businesses, the deciding factors are users, inventory and who will keep the books:

  • Users. QuickBooks Online prices by plan with user caps (3 on Essentials, 5 on Plus, 25 on Advanced). Xero says it charges no per-user license fees, which helps a company where many people need read access or approve bills.
  • Tracking. QuickBooks Online Plus adds inventory, project profitability and up to 40 classes and locations; Advanced removes the class limit and adds approval workflows and user permissions. Xero Established adds projects, multi-currency and expense claims.
  • Bill pay. Xero includes free standard ACH bill payments through Melio on all three plans. QuickBooks lists free ACH bill pay with usage fees above plan allotments.
  • Ecosystem. In the US, more bookkeepers, tax CPAs and apps work with QuickBooks Online, which is often the tiebreaker for ecommerce sellers with Shopify, Amazon and inventory apps.

When should a small business move to NetSuite, Sage Intacct or an AI-native ERP?

Revenue size alone is a weak trigger. In our experience the signals that a company has outgrown QuickBooks Online or Xero are:

  • Two or more legal entities, with intercompany balances reconciled in spreadsheets.
  • Annual or multi-year contracts, usage pricing or bundles that need ASC 606 revenue schedules.
  • An audit, a fundraise with financial due diligence, or a lender asking for GAAP statements.
  • More people needing role-based permissions and approval trails than your plan allows.
  • A month-end close that runs past ten business days because of manual tie-outs.

Among the larger systems, NetSuite is strongest when inventory, order management or international subsidiaries are central. Sage Intacct fits multi-entity service, SaaS and nonprofit organizations that report by dimensions such as department, location or program. Intuit Enterprise Suite is Intuit’s multi-entity product for companies that want to stay in the Intuit family. Rillet and other AI-native ERPs target venture-backed SaaS and AI companies that want revenue recognition, consolidation and close management in one ledger. All of them are quoted, so ask for the full first-year cost, including implementation and add-on modules.

What does your accounting software choice mean for your books and month-end close?

The close is where a software decision shows up, good or bad. Here is what we check when we set up or inherit a system:

  • Sync quality. Bank, card, Stripe, Shopify and payroll feeds must arrive complete and without duplicates. Broken feeds are still the most common reason a close slips.
  • Receipts and categorization. AI categorization in Digits, Rillet, QuickBooks and Xero saves time, but someone still needs to review suggestions against your chart of accounts and keep an audit trail of who accepted what.
  • Bill pay approvals. Approval workflows (QuickBooks Advanced, Xero bill pay, and the ERPs) keep payment controls inside the system instead of in email threads.
  • Reconciliation. Every balance sheet account, not just the bank, should reconcile monthly. Multi-entity companies add intercompany reconciliation, which is far easier with native consolidation.
  • Revenue schedules. If revenue recognition lives outside the ledger, you have one more subledger to tie out each month.

Moving a messy ledger moves the mess. If your books are behind, catch up and clean up first, then migrate at a quarter or year end with a parallel close. That is the core of our cloud accounting setup and migration work.

When should you choose each one?

  • Choose QuickBooks Online if you are a US small business that wants the widest choice of apps and accountants, especially with inventory or project tracking.
  • Choose Xero if many people need access, you value included ACH bill pay, or you invoice in several currencies.
  • Choose Digits if you are small, single-entity and want AI-first automation at a published price.
  • Choose NetSuite if inventory, order management or international subsidiaries drive your operations.
  • Choose Sage Intacct if you run several entities and report by department, location or program.
  • Choose Rillet or another AI-native ERP if you are a venture-backed SaaS or AI company with ASC 606 revenue, several entities and an audit ahead.

Whichever you pick, someone still has to own the close. Our outsourced controller team runs month-end in QuickBooks Online, Xero, NetSuite, Sage Intacct and AI-native platforms such as Rillet and Digits, and basic monthly bookkeeping starts at $199 a month (see pricing).

How we compared

We used only each provider’s own pricing, product and help pages, checked October 28, 2026. We did not run hands-on benchmark tests for this article, we do not publish ratings, and we have no affiliate relationship with any vendor listed. Prices are US list prices before promotions and taxes; vendors change plans and prices often, and 2027 pricing had not been announced when we checked, so confirm current terms before you buy.

Frequently asked questions

How much does QuickBooks Online cost in 2027?

Intuit had not announced 2027 prices when we checked on October 28, 2026. The current list prices are $38 a month for Simple Start, $85 for Essentials, $140 for Plus and $340 for Advanced, with a 50% discount for the first three months for new subscribers.

How much does Xero cost per month in the US?

Xero’s US plans list at $27 a month for Early, $59 for Growing and $97 for Established as of October 28, 2026. Payroll through Gusto is an optional add-on at $36 a month plus $6 per employee or contractor.

Is QuickBooks or Xero better for a small business?

Both handle the core bookkeeping well. QuickBooks Online has the larger US ecosystem of apps and accountants and stronger inventory and class tracking on Plus and Advanced, while Xero has no per-user fees and includes free standard ACH bill pay. Pick the one your bookkeeper and key apps support best.

Is there free accounting software for small businesses?

QuickBooks now lists a Free plan for one user, limited to two invoices a month, its top three reports and one bank connection. That can work for a side business, but most companies outgrow it quickly once they need full reconciliation and reporting.

How much does NetSuite cost for a small business?

Oracle does not publish NetSuite prices. It sells an annual subscription made up of the core platform, any added modules and the number of users, plus a one-time implementation fee, so you need a quote. Ask for the full first-year cost including implementation.

What is the difference between NetSuite and Sage Intacct?

Both are cloud financial systems with multi-entity consolidation and revenue recognition. NetSuite is a broader ERP that includes inventory and order management in its core platform, while Sage Intacct centers on financials and dimensional reporting, which suits service, SaaS and nonprofit organizations.

What is AI-native accounting software?

It is a ledger built around automation from the start, where transactions flow in from banks and apps and the software proposes categories, reconciliations and entries for a person to review. Digits targets small businesses, while Rillet targets growing companies replacing QuickBooks, NetSuite or Sage Intacct.

Can QuickBooks Online handle multiple companies?

Each QuickBooks Online subscription covers one company file, so several entities means several subscriptions and consolidation outside the system. Intuit Enterprise Suite is Intuit’s product for multi-entity management, priced by quote.

What accounting software is best for a SaaS startup?

An early SaaS company with monthly plans and one entity is usually fine on QuickBooks Online or Xero. Once annual contracts, usage pricing or a second entity make ASC 606 schedules and consolidation painful, Sage Intacct, NetSuite or an AI-native ERP such as Rillet becomes worth the cost.

When is the best time to switch accounting software?

Switch at a clean cutoff, ideally the start of a fiscal year or quarter, after the prior period is fully reconciled. Run at least one month’s close in both systems so you can tie out balances before you retire the old one.

Does accounting software replace a bookkeeper?

Automation removes much of the data entry, but not the judgment. Someone still has to review categorizations, reconcile accounts, book accruals and explain the numbers to owners, investors and your tax CPA.

How long does it take to move from QuickBooks to an ERP?

It depends on entities, history and data quality. Rillet states typical implementations of 4 to 6 weeks, while NetSuite and Sage Intacct are run as implementation projects scoped in the quote. Clean books before migration shorten every timeline.
