The best bill pay software for a small business in 2026 is usually the one built into where your money or your books already live. If you bank with Ramp, Brex, Mercury or Rho, their bill pay sends ACH and checks with little or no fee. If you want bill pay inside your accounting system, QuickBooks Bill Pay and Xero’s Melio-powered payments now include free standard ACH. BILL remains the most complete stand-alone AP tool for companies with approval chains and many vendors, at $49 to $89 per user per month. Paying bills by credit card through BILL, Xero, Melio or Plastiq costs about 2.9% to 2.99%, which usually exceeds the rewards you earn.
Key takeaways
- Standard ACH is now free in QuickBooks Bill Pay, Xero bill payments, Mercury, Brex and Rho (from their own accounts), and on Ramp when paid from Ramp Checking.
- BILL charges per user ($49, $65 or $89 a month) plus $0.59 per ACH and $1.99 per check, but offers the deepest approvals and NetSuite and Sage Intacct sync on Enterprise.
- Card-funded bill payments cost 2.9% (BILL, Xero, Melio) or 2.99% (Plastiq), so they make sense for cash flow timing, not for rewards.
- Treasury yields on idle AP cash vary widely, and money market or T-bill products are not FDIC insured.

How can you fund bill payments?
Funding method drives both cost and cash flow:
- From a bank account. The cheapest route. Bank-led platforms (Ramp Checking, Brex, Mercury, Rho) waive most payment fees when the money sits with them.
- By credit card, even if the vendor does not take cards. BILL, Xero (through Melio) and Plastiq charge the card and pay the vendor by ACH or check. You get extra days of float, but you pay about 2.9% to 2.99%.
- By virtual card the vendor accepts. BILL, Brex and Amex One AP can pay vendors with a virtual card at no fee to you, and that spend earns your card’s normal rewards.
- Financing. Melio offers pay-over-time financing, and Plastiq lists short-term financing at 2.75% to 10.65%. Treat these as short-term debt in your books.
Is paying bills by credit card worth it for the rewards?
Usually not. A 2.9% processing fee on a $10,000 bill is $290; a card earning 2% cash back returns $200, so you are $90 behind before considering whether that spend even earns full rewards (BILL, for example, excludes Plastiq and Melio payments from Divvy points). Card-funded payments make sense when the vendor accepts cards directly with no surcharge, or when 30 or more days of float is worth the net cost. For more on card programs, see our comparison of the Ramp and Brex corporate cards.
Which bill pay apps also offer a corporate card and treasury?
Ramp, Brex, Mercury, Rho and BILL now bundle bill pay with a corporate card and a place to earn yield on cash waiting to go out. Rates below are as each provider published them; they change often.

|---|---|---|---|
| Ramp | Ramp charge card, cash back | Checking 2% APY (dated October 26, 2026); investment account up to about 4.6% to 4.7% (dated September 3, 2026) | Investment account fee up to 0.15% |
| Brex | Brex card, points | Up to 4.36% through a government money market fund (no as-of date shown) | Rate tiers from 4.01% by balance |

| Rho | Rho card, up to 2% with Platinum | Treasury in T-bills, rates by balance tier | $50,000 minimum; fees 0.15% to 0.60%; not FDIC insured |

| Relay | Relay card, 1% to 1.5% by plan | Savings up to 3.21% APY on Scale (as of September 17, 2026) | Plans $0, $30, $90 a month |

What are the pros and cons of each bill pay app?
- BILL: the deepest AP controls, vendor network and AI agents (invoice coding, W-9 collection, risk flags announced October 19, 2026). Con: per-user pricing and per-payment fees add up, and ERP sync needs Enterprise.
- Ramp: free plan with invoice OCR and approvals; fees waived from Ramp Checking. Con: ACH and check fees started June 1, 2026 if you pay from an outside bank.
- QuickBooks Bill Pay: no extra app, free standard ACH and AI that turns invoices into bills. Con: role-based approvals need Elite.
- Xero with Melio: free standard ACH on every plan and card-funded payments, launched March 23, 2026. Con: FX payments need Established.
- Brex, Mercury and Rho: low or no payment fees from their accounts. Con: you need to move operating cash to them.
- Plastiq, Amex One AP and Tipalti: specialists for card-funded payments, high Amex card volume and global payouts with tax forms, respectively.
What does bill pay software mean for your books and month-end close?
- One source of truth: bills should be entered once and sync to QuickBooks Online, Xero, NetSuite or Sage Intacct, so AP aging ties to the ledger at month end.
- Approvals: two-step approval above a dollar threshold is the single most effective fraud control we set up.
- Clearing accounts: card-funded and bank-funded payments land differently; map each to the right clearing account so the bank reconciliation works.
- 1099s: collect W-9s at vendor setup. BILL, Ramp, QuickBooks Premium and Mercury Plus all support 1099 filing.
Our outsourced bookkeeping team runs AP in all of these tools and closes the books in QuickBooks Online, Xero, NetSuite, Sage Intacct and AI-native platforms such as Rillet and Digits.
